How can I automate appointment reminders, rescheduling and "tech on the way" texts?

Use the reminder and notification features in your field service software: a confirmation when the job is booked, a reminder the day before, an on-the-way text with the technician's name and photo when they leave the previous job, and a link to reschedule. ServiceTitan, Jobber and Housecall Pro all include versions of these. They are rules, not AI, and that is fine.

Rescheduling without the phone

A reschedule link that offers real open slots saves your office many calls. If your software cannot show live slots, the link can send a request the office confirms. An AI receptionist can also confirm or move appointments where the software allows it.

Keep the tone and timing right

Send messages during reasonable hours, from the same number customers call, and keep them short. Include the company name in every text so it does not look like spam.

How we look at it at ShoutEx

This is often a settings project rather than new software. We review your current notifications, tighten the wording and turn on the ones you are not using.

Watch out for
  • Reminders sent at 6 a.m..
  • Texts from an unknown number.
  • Reschedule links that just say "call us".
  • Long messages full of marketing.
Good signs
  • Short messages with your company name.
  • A real reschedule option.
  • Tech name and photo in the on-the-way text.
  • No-show rate tracked monthly.

What HVAC owners and researchers say

Customers and contractors both rate on-the-way texts highly.

Owners note that on-the-way texts with the tech's photo get noticed by customers and reduce calls asking where the tech is.

Follow-up questions

Do appointment reminders need consent?

Messages about a job the customer booked are transactional. Promotional content needs consent. Keep the two separate.

Can I send reminders by voice call?

You can, but text is usually better received. In the US, automated and AI-voice calls fall under TCPA rules.

How long should the arrival window be?

Shorter windows are better for customers, but only promise what dispatch can keep.
