How much does AI automation cost for an HVAC company?

There is no single price, because you are paying for several parts. This page breaks them out so you can compare quotes fairly.

How owners ask it
  • What does an AI receptionist cost per month?
  • Is setup a one-time fee?

✓ Answer

The cost has four parts: the software or add-on, usage such as call minutes or texts, setup and integration, and ongoing tuning. Some add-ons are cheap. Jobber listed its AI Receptionist at $29 USD a month in October 2026. The bigger cost is usually the setup and the time to keep it accurate, not the subscription.

Why quotes vary so much

One quote may include only the tool. Another may include call review, integration with your software and monthly changes. Ask every provider to price the same four parts so you are comparing the same thing.

Tools that live inside the software you already pay for are usually cheapest to start. Custom setups that connect several systems cost more up front but can do things a single add-on cannot, such as routing commercial customers differently. Compare built-in tools and custom setups.

How to budget it

Set the budget from the jobs it needs to win, not from a percentage of revenue. If your average repair ticket is $450 and the full monthly cost is $600, two extra booked jobs a month cover it. Use your own numbers, then decide whether that bar is easy or hard to clear.

How we look at it at ShoutEx

We scope the work in writing, separate one-time setup from monthly support and show you the payback test before anything is built. We don't publish a standard price because the work depends on your phones, software and goals.

Watch out for
  • A low monthly price with per-minute fees hidden in the terms.
  • Setup fees with no list of what gets connected.
  • Long lock-ins before a trial on your own calls.
  • No one assigned to review calls after launch, which is where quality slips.
Good signs
  • A quote split into software, usage, setup and support.
  • A trial period measured against your call log.
  • Your data stays yours and can be exported if you leave.
  • Monthly reporting in booked jobs, not in minutes handled.

Follow-up questions

Is an AI receptionist cheaper than an answering service?

Often, per call. But a live answering service handles odd situations better. Many shops use AI for overflow and after hours, and keep people for busy daytime hours.

Are there costs to my phone carrier?

Sometimes. Call forwarding is usually included, but business texting in the US needs carrier registration, which some tools charge for.

Do prices differ in Canada?

Many vendors bill in US dollars. Check the currency, taxes and whether Canadian phone numbers are supported.
