✓ Answer

Cost depends on four things: software subscriptions, setup and integration work, custom development and ongoing support. Automating inside tools you already pay for, such as HubSpot workflows, costs mostly setup time. Integrations and custom builds like a client portal cost more because of design, security and testing. Compare quotes on the same scope and ask what support costs after launch.

Set the budget from the payback

Work out what the project should return: hours saved by senior staff, faster deals or more pipeline. If a questionnaire library saves your security lead a day a week, that's the value to compare against cost. Use your own numbers.

Compare quotes fairly

Ask each provider to price the same scope, list what's included, state who owns the code and accounts, and give the monthly cost after launch. Our guide on development cost explains what drives build prices.

How we look at it at ShoutEx

We scope the work in writing, separate setup from ongoing support and agree a payback test before building. We don't publish a standard price because scope varies too much.

Watch out for
  • Quotes with no scope list.
  • Hidden usage or seat costs.
  • No mention of support after launch.
  • Provider-owned code or accounts.
Good signs
  • Written scope and deliverables.
  • Setup and support priced separately.
  • A payback test agreed up front.
  • Phased builds with checkpoints.

Follow-up questions

Is it cheaper to automate in HubSpot than to build?

Usually yes, if HubSpot covers the need. Custom builds fit gaps it can't cover.

Should we pay fixed price or hourly?

Fixed price for clear scope, hourly or retainer for ongoing changes.

What does maintenance usually include?

Monitoring, security updates, fixes and small changes. Agree what's in and out.
